When you search for "try Microsoft Dynamics 365 for free" today, you probably mean one of three very different goals: a quick first impression (click, feel, look), a well-founded functional evaluation against your requirements, or an ROI calculation for the purchase decision. Microsoft addresses all three — but each with a different tool.

Path 1 — Microsoft 30-day trial (self-started)

Microsoft provides a direct 30-day trial for most Dynamics 365 modules at dynamics.microsoft.com/en-us/free-trial — without credit card, without sales call. Trials are available for Microsoft Dynamics 365 Sales, Customer Service, Field Service, Marketing (today Customer Insights – Journeys), Customer Insights – Data, Project Operations, and Business Central. After registration you receive a tenant with sample data and can start clicking immediately. Useful for: first look-and-feel clarification, "can this replace the Outlook workflow?", demo to the team.

Path 2 — Sandbox license (within a Microsoft 365 subscription)

As soon as your company has a productive Microsoft 365 or Dynamics 365 license, sandbox environments are included. A sandbox is a fully functional test environment without time limit that you fill with your own data, test customization, connect third-party systems, and run power user training. For a serious evaluation beyond the 30-day trial, the sandbox is the real tool. Useful for: multi-week functional evaluation, power user tests, customization validation.

Path 3 — Guided evaluation sprint (with practitioners)

For a serious purchase decision in the mid-market, 30 days of click trial are not enough. How to start the Microsoft 30-day trial.

  1. Choose the module. Microsoft Dynamics 365 is not a single application, but a family. If you're evaluating as a CRM replacement, start with Dynamics 365 Sales (for sales processes) or Customer Service (for service processes). If you're evaluating as an ERP replacement, start with Business Central. For marketing use cases, Customer Insights – Journeys is the entry point. Trials begin at dynamics.microsoft.com/en-us/free-trial.
  2. Register with a business email address. Microsoft does not accept private email addresses (Gmail, Outlook.com, GMX). If your company does not yet have a Microsoft 365 tenant, the trial automatically gets a new <tenant>.onmicrosoft.com subdomain. You can later adopt the tenant productively or let it expire.
  3. Choose a data region. For German mid-market companies, "Europe" is the standard — data is stored in European Microsoft data centers (Netherlands, Ireland, Switzerland, Germany). Pay attention to this if you want to go productive later: changing the data region requires a data migration.
  4. Explore the sample data. Microsoft fills trial tenants with example records (customers, orders, tickets, appointments). Walk through the main processes, click through Outlook integration, Microsoft Teams integration, and mobile apps.
  5. Honestly note what you don't understand. Microsoft Dynamics 365 has a learning curve. The typical "aha" moments only come in weeks two and three — once you've tried customization, added your own fields, and built your first workflows with Power Automate.

Important: The 30-day trial is good for the question "can I imagine this working?". It is not good for the question "will this work in our concrete business situation?". The latter is only answered by a sandbox with real data.

Provisioning walkthrough · Customer Engagement and Business Central in detail

Step by step: getting the trial tenant productive for CE or BC.

Microsoft starts both modules via the same trial landing page, but provisioning differs. Here are both paths in detail.

Customer Engagement (Sales · Customer Service · Field Service · Customer Insights)

  1. Start trial. At dynamics.microsoft.com/en-us/free-trial choose the desired CE module, enter business email and phone number, SMS verification.
  2. Sandbox environment in the Power Platform Admin Center. Screenshot hint: Power Platform Admin Center → left navigation → Environments → "+ New" button top right. Type: Sandbox, Region: Europe, Dataverse: Yes. After 5–10 minutes the sandbox is ready.
  3. Install apps. In the new environment, under Resources → Dynamics 365 apps, install the desired module (Sales Hub, Customer Service Hub, Field Service). Installation takes 15–30 minutes per module.
  4. Load sample data. Screenshot hint: In the app interface, top right click the gear → Advanced Settings → Settings → Data Management → Sample Data → Install Sample Data. Provides sample accounts, contacts, and opportunities.
  5. Assign user licenses. Screenshot hint: Microsoft 365 Admin Center → Active Users → select user → Licenses and Apps → activate Dynamics 365 trial license. Up to 25 users during the trial phase.

Business Central (ERP)

  1. Start trial. At dynamics.microsoft.com/en-us/business-central click "Try for free". Business Central is NOT on the general Dynamics 365 trial page — separate trial path.
  2. Choose country/region. Screenshot hint: In the onboarding wizard select "Country" — Germany for DE localization with GoBD-compliant accounting. Important: localization CANNOT be changed later.
  3. Load Cronus demo company. Business Central starts with the fictional demo company "Cronus AG" — fully populated with customers, vendors, items, orders, and postings. Ideal for workflow tests.
  4. Create your own test company. Screenshot hint: Bottom right "Settings" → "My Settings" → "Company" → "+ New Company". Choice: empty or "Standard Configuration" with German chart of accounts SKR03/SKR04.
  5. Activate Outlook add-in. Business Central offers an Outlook add-in for contact and order linking. Already included in the trial — via Settings → Personalize.

Test data strategy · bring-your-own vs. sample data

Which data belongs in the trial — and which never does.

The question "your own data or sample data?" decides whether the trial delivers real insights or remains a click demo.

Microsoft sample data — useful for the first week

Microsoft provides pre-populated demo records in every trial: Cronus AG for Business Central, "Adventure Works" for Sales/Customer Service, fictional field service orders. Advantage: Immediately clickable, all workflows work out-of-the-box, ideal for look-and-feel tests and demo to stakeholders. Limit: The data has no relationship to your real business situation — what works with sample data can fail with your data structure.

Bring-your-own-data (BYO) — mandatory from week two

For a well-founded evaluation, you have to load your own (anonymized) data into the sandbox. Practical approach:

  • Data export from the legacy system. CSV export of the relevant master data — customers, contacts, products, open orders.
  • Anonymization. Replace or mask personal data (GDPR-compliant). No productive personal data should end up in trial environments.
  • Import via Configuration Migration Tool or Excel upload. Microsoft offers the Configuration Migration Tool for Customer Engagement, the RapidStart service for Business Central.
  • Sample rather than full load. 100 to 500 records per entity are enough for workflow evaluation — full migration belongs in implementation, not in the trial.

What does NOT belong in the trial

  • Productive personal data without anonymization (GDPR violation)
  • Business-critical data without separate backup in the legacy system
  • Data whose compliance class rules out cloud processing (e.g., particularly sensitive personnel files)

Trial limits · what Microsoft doesn't tell you from the start

Three pitfalls with the Microsoft Dynamics 365 trial.

Pitfall 1 — Tenant region cannot be changed

At trial start you choose a region (Europe, US, UK, Australia, …). This choice is final. If the trial should later be transferred to a productive tenant, you are stuck in the chosen region — a tenant region migration is only possible via a complete rebuild plus data migration. Practical advice: For DE mid-market companies always choose "Europe" (data in NL/IE/DE/CH). Never choose US, not even accidentally, not even for "quick tests".

Pitfall 2 — License conversion cliff after 30 days

Microsoft does not automatically convert a trial into a paid license. After 30 days (plus 30 days grace period) the tenant is suspended, after another 30 days the data is deleted. Anyone who wants to use the trial productively must obtain a Microsoft Dynamics 365 license in the NCE model before expiration. NCE mechanic: Licenses are purchased for 1 month, 1 year, or 3 years — with annual or multi-year commitment there is 12 to 18 % discount, but no cancellation possibility within the term. Those who start on monthly commit pay a 20 % surcharge but have monthly cancellation.

Pitfall 3 — Data migration path must be in place before trial ends

If the trial tenant is adopted into production, the trial data (sample plus your BYO data) is still in the system. For a clean productive adoption, sample data must be deleted and productive data freshly loaded — or a new, empty productive tenant is set up and the tested configuration transferred via solutions export/import. Recommendation: For serious implementations we recommend the second path — new empty tenant, configuration migration via solutions, data migration from the legacy system into the productive tenant. The trial tenant is shut down.

Transition trial → productive license

How a trial becomes a clean productive Dynamics 365 environment.

The clean transition from trial to productive operation follows a clear four-step path:

  1. Architecture decision in trial week 3. First configuration maturity is reached — now decide: continue in the trial tenant or set up a new productive tenant? For productive use for more than 10 users, we recommend a productive rebuild.
  2. License sourcing via CSP partner. Microsoft Dynamics 365 licenses can be sourced directly from Microsoft or via a CSP partner like arades GmbH. CSP advantage: monthly consolidated invoice in euros, license optimization in the installed base, support escalation and, as needed, license audit. Pre-modeling licenses: License Cost Calculator.
  3. Solutions export from trial tenant. Configuration (entities, fields, forms, views, workflows, Power Automate flows) is exported as a "managed solution" and imported into the productive tenant. Clean reproducibility, documented audit trail.
  4. Data migration from the legacy system. Productive data from the predecessor system (Excel, older CRM, Salesforce, …) is freshly loaded into the new productive tenant — not copied from the trial. Trial tenant is shut down after a successful go-live.

Four traps that mid-market Microsoft Dynamics 365 tests typically fall into.

Trap 1 — Starting a trial without a clear question

"Let's try Microsoft Dynamics 365" is the worst opening question. Without a clear hypothesis ("We want to transfer the lead-to-opportunity process from Excel into the CRM — can this be set up in two weeks of sandbox?"), every trial ends up in a sample data mess without outcome.

Trap 2 — Working with sample data instead of real data

Microsoft sample data shows how the system can look — but not how it handles your specific data patterns, edge cases, and third-party integrations. A serious evaluation requires sandbox configuration with real (anonymized) records.

Trap 3 — Only testing end users, not the IT side

A CRM test that only answers "does this look good?" overlooks the operational topics: Who maintains customization? What does the ALM process look like? Which license bundles do we need? How is the interface to Outlook? These questions decide the long-term costs — not the UI.

Trap 4 — Not extending the 30-day trial into sandbox configuration

After the 30-day trial expires, the sample data and configurations are gone. Anyone who starts the trial without a plan to transition to a sandbox loses the work. A serious evaluation plans from the start: first week trial click exploration, second week switch to a sandbox with your own tenant.
